Group Supervision Booking Terms and Conditions


1. Roles and Responsibilities

1.1 The Coach Supervisor agrees to maintain the ethics and behaviour standards established by the European Coaching and Mentoring Council (EMCC) and the British Psychological Society (BPS). We recommend that the Client review the EMCC, BPS Code of Ethics and the applicable standards of conduct.
1.2 The Participant is solely responsible for creating and implementing their physical, mental and emotional well-being, decisions, choices, actions and results arising from the group supervision sessions and their interactions with the Coach supervisor and other group members. As such, the Participant agrees that the Coach Supervisor is not and will not be liable or responsible for any actions, inaction, or direct or indirect result of any services the Coach Supervisor provides. The Participant understands the supervision sessions are not therapy and do not substitute, prevent, cure, or treat any mental disorder or medical disease.  
1.3 The Participant acknowledges that they may terminate or discontinue the group supervision at any time.
1.4 The Participant acknowledges that group supervision is a comprehensive process involving different topics spanning various areas of life, including work, finances, health, relationships, education, and recreation. The Participant agrees that deciding how to handle these issues, incorporating coaching principles into those areas, and implementing choices is exclusively the Participant’s responsibility.
1.5 The Participant acknowledges that group supervision does not involve diagnosing or treating mental disorders (as defined by the American Psychiatric Association or the British Psychiatric Association).
1.6 The Participant acknowledges that group supervision cannot be used as a substitute for counselling, therapy, mental health care, substance abuse treatment, or other professional advice by medical or other qualified professionals.
1.7 The Participant is responsible for seeking such independent professional guidance as needed.
1.8 The Participant is asked to attend their sessions free from the effects of alcohol and non-medical drugs. If the Participant appears to be under the influence of such substances, the Coach Supervisor can refuse the participant’s continuation with the agreed-upon session.
1.9 Participants are expected to conduct themselves professionally during all group supervision sessions. This includes but is not limited to showing respect towards the coach supervisors and other group participants, actively listening, and engaging in discussions constructively.
1.10 Participants must communicate respectfully at all times. This includes avoiding any form of harassment, discrimination, or offensive language. Disagreements and differing opinions should be expressed politely and respectfully. Threatening, abusive, or violent behaviour will not be tolerated and will lead to the termination of the agreed contract with the Participant.
1.11 In the event of a conflict between group members, participants are encouraged to address the issue directly with the involved parties respectfully. If the dispute cannot be resolved, it should be brought to the attention of the Coach Supervisor for mediation.
1.12 All group members must actively participate. This includes being prepared for each session and engaging in discussions.

2. Services and Cancellations

2.1 Each session will begin and end on time. Participants are expected to attend all scheduled sessions and arrive on time. If a participant cannot participate in a session, they must notify the Coach Supervisor in advance, adhering to this contract’s cancellation and rescheduling policy.
2.2 There is no notice period for cancelled sessions, however, should the Coach Supervisor not be able to run a session as planned, due to arranged leave or illness, the Coach Supervisor will re-arrange the missed session and offer alternative dates and times. Alternatively, a substitute facilitator will be provided or Participants will be given the option of attending another group for that month’s session.
2.3 If payment for two consecutive sessions has not been received, the Coach Supervisor obtains the right to terminate any further agreed sessions with the Participant.
2.4 The Participant or the Coach Supervisor may terminate this Agreement at any time with one month’s notice. The Participant agrees to compensate the Coach Supervisor for all services rendered, including the effective termination date of the group supervision sessions.

3. Schedule and Fees

3.1 The fee is £50+VAT per month and is due 5 days from date of the invoice.
3.2 The sessions shall be no longer than 90 minutes.

4. Refunds

4.1 We only offer refunds for services that are unable to be fulfilled or where services are not meeting the agreed-upon specifications. Services must not have been fully performed or completed within the contracted agreement.
4.2 Refunds requests must be submitted to  where a member of the team with review your request and if approved provide instructions for the refund process.
4.3 Refunds will be processed using the original payment method, unless otherwise specified. Please allow 14 days for the refund to be reflected in your account.

5. Procedure

5.1 The Coach Supervisor pre-arranges the time and dates of the sessions.
5.2 The Coach Supervisor will set up a video appointment, and the Participant will receive details via email via the Neuro Directions booking system.
5.3 Before each session, the Participant will receive links to videos and articles to read, helping the Participants to prepare for a richer, more informed discussion. While this pre-session engagement is not mandatory, it significantly enhances the quality of the group discussions.

6. Confidentiality and Data Protection

6.1 The Coach Supervisor is a member of a professional coaching and psychology body identified on their information on the business website. The Coach Supervisor will abide by their professional body’s Code of Ethics and conduct.
6.2 However, the relationship between the Coach Supervisor and Participant is not considered legally confidential (unlike in the medical and legal professions). Thus, communications are not subject to the protection of any legally recognised privilege.
6.3 The Coach Supervisor agrees not to disclose any information about the Participant without the Participant’s consent. The Participant will be required to reveal their name to other group participants.
6.4 Coach Supervisors will receive regular supervision to discuss and monitor the coaching supervision work. During supervision sessions, due diligence is taken to keep the participant’s identity confidential.
6.5 Brief notes of sessions will be kept, and these will be kept securely in compliance with GDPR.
6.6 Confidential information does not include information that:

  • was in the Coach Supervisor’s possession before its being furnished by the Participant;
  • is generally known to the public or in the Participant’s industry;
  • is obtained by the Coach Supervisor from a third party without breach of any obligation to the Participant;
  • is independently developed by the Coach supervisor without the use of or reference to the Participant’s confidential information or
  • the Coach Supervisor is required by statute or by court order to disclose;
  • is disclosed to the Coach Supervisor, and as a result of such disclosure, the Coach Supervisor reasonably believes there to be an imminent or likely risk of danger or harm to the Participant or others;

6.7 The Participant acknowledges their obligation to raise confidentiality questions or concerns with the Coach Supervisor promptly.
6.8 Participants must maintain the confidentiality of all discussions and shared information within the group. This means that no information discussed within the group can be shared outside the group without the express consent of all involved parties. Breaches of confidentiality will be taken seriously and may result in immediate termination from the group without a refund.

7. Limited Liability

7.1 Except as expressly provided in this Agreement, the Coach Supervisor makes no guarantees, representations or warranties of any kind or nature, express or implied, concerning the supervision services negotiated, agreed upon and rendered.
7.2 In no event shall the Coach Supervisor be liable to the Participant for any indirect, consequential or special damages.
7.3 Notwithstanding any damages the Participant may incur, the Coach Supervisor’s entire liability under this Agreement. The Participant’s exclusive remedy shall be limited to the amount paid by the Participant to the Coach Supervisor under this Agreement for all coaching supervision services rendered through and including the termination date.

8. Entire Agreement

8.1 The Terms and Conditions reflects the entire Agreement between the Coach Supervisor and the Participant and reflects a complete understanding of the parties concerning the subject matter.
8.2 This Agreement supersedes all prior written and oral representations.
8.3 The Agreement may not be amended, altered or supplemented except in writing, signed by the Coach Supervisor and the Participant.

9. Dispute Resolution

9.1 If a dispute arises out of this Agreement that cannot be resolved by mutual consent, the Participant and Coach Supervisor agree to attempt to mediate in good faith for up to 60 days after the notice is given. If the dispute is not resolved, and in the event of legal action, the prevailing party shall be entitled to recover the solicitor’s fees and court costs from the other party.

10. Severability

10.1 If any provision of this Agreement shall be held invalid or unenforceable for any reason, the remaining provisions shall remain valid and enforceable.
10.2 Suppose the Court finds that any provision of this Agreement is invalid or unenforceable but that limiting such provision would become valid and enforceable. In that case, such provision shall be deemed written, construed, and enforced as limited.

11. Waiver

11.1 The failure of either party to enforce any provision of this Agreement shall not be construed as a waiver or limitation of that party’s right to subsequently enforce and compel strict compliance with every provision of this Agreement.

12. Applicable Law

12.1 This Agreement shall be governed and construed following the laws of the United Kingdom, without giving effect to any conflicts of the law’s provisions.
